Guidelines for participation in Heroes Guild programs.

Agreement to Terms
By enrolling your child in Heroes Guild programs or using our website (heroesguild.ca), you agree to these Terms of Service. If you do not agree, please do not use our services.
Program Description
Heroes Guild is a structured day program for children ages 8-14 that uses tabletop role-playing games (such as Dungeons & Dragons) and creative activities to develop social skills, confidence, and leadership abilities.
Enrollment and Payment
Registration
- Enrollment is subject to availability and program suitability
- Complete and accurate information must be provided during registration
- Parents/guardians must be at least 18 years of age to enroll a child
- A family consultation may be required before enrollment is confirmed
Payment Terms
- Monthly tuition is due on the 1st of each month
- Late payments may result in suspension of services
- All fees are non-refundable unless otherwise specified
- We reserve the right to adjust pricing with 30 days notice
Program Rules and Expectations
Participant Conduct
All participants are expected to:
- Treat staff and other participants with respect
- Follow instructions from Guild Guides
- Use equipment and materials appropriately
- Maintain a safe and inclusive environment for all
Behavioural Support
We use positive reinforcement and collaborative problem-solving. However:
- Persistent disruptive behaviour may require a parent meeting
- Physical aggression or bullying is not tolerated
- We reserve the right to dismiss participants whose behaviour creates safety concerns
- No refunds will be issued for dismissal due to behavioural issues
Health and Safety
Medical Information
- Parents must disclose all relevant medical conditions, allergies, and medications
- Updated emergency contact information must be maintained
- We are not equipped to provide medical care beyond basic first aid
Illness Policy
- Children must be symptom-free for 24 hours before attending
- We will contact parents to pick up any child showing signs of illness
- No refunds or credits are provided for illness-related absences
Allergies and Dietary Needs
- Our facility may contain common allergens (nuts, gluten, etc.)
- Parents are responsible for providing appropriate snacks/meals if needed
- We cannot guarantee an allergen-free environment
Drop-off and Pickup
- Children must be signed in and out by an authorized adult
- Photo ID may be required for pickup
- Only authorized individuals listed in registration may pick up your child
- Late pickup fees may apply (see pricing page for details)
- Repeated late pickups may result in program dismissal
Photo and Video Consent
During registration, you will be asked to consent to photos and videos:
- Consent is optional and does not affect enrollment eligibility
- Images may be used for marketing, social media, and promotional materials
- You may withdraw consent at any time in writing
- Children's names will not be published without explicit permission
Cancellation and Withdrawal
By Parents/Guardians
- 30 days written notice required to withdraw from the program
- No refunds for partial months
- Registration fees are non-refundable
By Heroes Guild
We may terminate enrollment if:
- Payment obligations are not met
- Program rules are repeatedly violated
- Safety concerns cannot be resolved
- Required information is found to be inaccurate
Liability and Indemnification
Assumption of Risk
Participation in Heroes Guild activities involves inherent risks. By enrolling, you acknowledge that:
- Physical activities carry risk of injury
- Interaction with other children may result in conflicts
- We take reasonable precautions but cannot eliminate all risk
Limitation of Liability
To the maximum extent permitted by law:
- Heroes Guild is not liable for lost, stolen, or damaged personal property
- We are not liable for injuries except those caused by gross negligence
- Our total liability is limited to fees paid for the current month
Indemnification
You agree to indemnify Heroes Guild against claims arising from your child's actions or your breach of these terms.
Intellectual Property
- All Heroes Guild program materials, curriculum, and branding are proprietary
- Character sheets and journals created during sessions may be kept by participants
- Photography or recording by parents during sessions requires prior approval
Modifications
We may update these Terms at any time. Material changes will be communicated via email. Continued participation after changes constitutes acceptance of updated terms.
Governing Law
These Terms are governed by the laws of Ontario, Canada. Any disputes shall be resolved in the courts of Ontario.
